How To Approve New Roles To The Job Board

Most roles will be auto-approved to the job board, but others may require additional review. This guide outlines how to review flagged roles and approve them for posting.

If a role is not auto-approved after a hiring manager submits a new job to the job board, the listing will appear in the Jobs tab with the "Pending Review" status, indicating the need for WFA review and approval. 

  • A role will be flagged for additional review when the posting scores below the necessary numberical threshold based on different job detail including title quality, description completeness, qualifications outlined, grammar, tags, etc.
  • Roles posted by WFA staff are always auto-approved. 

To review and approve a job:

  1. Open the job posting to review. 

  2. Click Edit Job.

  3. Select a status from the ‘Review Status’ dropdown.

Review Status Options

Draft - Role was submitted as a test role or still being drafted by WFA admin. 

Approved - public = publish to job board (this will automatically mark the job as public and generate a notification to the hiring manager) 

Approved - confidential = job will not appear on job board

Needs details = you are waiting for additional information before approving 

Not a fit = role is not suitable for Civic Match (see guidance here)

Record keeping = use only for tracking SLG hires/roles 

Checklist to Review and Approve Job Postings

  • Check all text fields (title, office, city, public notes) for typos, errors, formatting

  • Review the JD and ensure all the relevant skill tags have been applied
  • Check to make sure the application link works, and is a direct link to the posting (as opposed to a general link to the jobs page)
  • IF the job is apply by email, check to make sure the link is in the proper format (ie: mailto:email@sample.gov) to ensure the link will work, and that the text [APPLY BY EMAIL] appears at the end of the job title 
    • If the job does not have an application link, make sure there are clear instructions in the notes section
